PRIVACY POLICY

 

 

At MGi London we are committed to safeguarding and preserving the privacy of our clients and their delegates in relation to the conference services that we provide. Our privacy policy explains how we use personal data provided to us, or that we collect from our clients in relation to our conference services.

 

In addition to this privacy policy, and in regard to the specialised work we do for our clients, we are bound by robust confidentiality agreements for the running of their events.  As a result, in addition to our privacy policy, we are forbidden to use the data collected for any event beyond the needs of the conference in hand.  In addition, at the end of each event all data, in the form of the delegate’s information database, will be handed back to the client and our records destroyed.

 

We offer this privacy policy on our website as a courtesy only as this site does not collect (harvest) data in any form, from anyone visiting the site.

 

We do update this policy from time to time so please do review this policy regularly.

 

Information We Collect

 

In running and organising our conferences we may collect and process the following data:

 

i. Your name, address and contact details, as well as organisational and email data

 

ii. Information provided voluntarily by you.  For example, when you register for certain breakouts/events/forum/exhibitions

 

iii. Information that you provide when you communicate with us by any means

 

iv. Information provided to us about individuals from the client who has engaged us in the organisation and running of the conference or event in question

 

Use of Your Information

 

We use the information that we collect from you to provide our services to you and the client engaging us for the provision of the named event for which you are applying.  In addition to this we may use the information for one or more of the following purposes:

 

i. To provide information for security purposes and for accreditation passes in line with the requirements of the client and venue in question to the specific event

 

ii. To provide information to you relating only to the event for which you have registered

 

iii. To inform you of any changes to the event plan, accreditation provision and collection, security and transport arrangements for the event to which you have applied

 

We do not use any data collected for our conferences and events for any other purpose than for the needs of that specific event.  All data collected for the purpose of the event is filed for reference by the client in relation to the event, or destroyed.

 

Disclosing Your Information

 

We will only disclose your personal information to another party in the circumstances detailed below:

 

i. To print and provide accreditation passes

 

ii. For reference by the client for the organisation of the event

 

iii. At the request of the security services in relation to conferences or events for which this is agreed, and understood by the applicants at the time

 

Access to Information

 

In accordance with the Data Protection Act 1998 you have the right to access any information that we hold relating to you.  Please note that we reserve the right to charge a fee of £10 to cover costs incurred by us in providing you with the information.
